As an organizer or host of a conference or seminar, one of your first tasks is to choose a suitable venue. People can be very temperamental when the overall environment is not to their liking and this can have a negative impact on the outcome of the meeting. Pick the wrong venue and you risk turning the meeting into a failure. Choose the right venue and even a badly planned meeting becomes a success. The bottom line is you must give topmost priority to the venue of a meeting.
Here are some of the important things to consider when choosing a conference centre:
• Size of the conference hall: The first thing to consider is the size of the conference hall. It should be large enough to accommodate all the participants and a few more, but not too large that it looks half empty. For example, if twenty people will be attending, then choose a room that is large enough for 30 people, just in case. It's better to have a little extra space than to run out of room for last-minute attendees.
• Customer service: As a conference organizer, you will have a plethora of requirements and a long list of things to do. To pull off a successful meeting, you need as much help and cooperation as you can get. Therefore, you should make sure that the centre offers all the services you need and that the service staff is helpful, friendly and proactive in fulfilling your requirements.
• Seamless wireless access: Laptops, iPads and tablets are important tools in today's conferences. In the course of the meeting, you may have to access the internet, so one of the first things you should find out is whether the conference centre has seamless wireless access or not.
• Natural light and view of the outdoors: If a conference room has a lot of natural light and a great view of the outdoors, the whole environment will be more conducive to a fruitful meeting. Ideally, a conference room should have large glass panel windows with a beautiful view of mountains, lakes, rivers, sea or a city skyline.
• Food and beverages: When people come to a conference, they expect to eat good food. Bad or substandard foods and beverages spoil the entire ambience as the attendees will spend a great deal of time grumbling about bad service, by which they actually mean food. Therefore, you should choose a place that is known for good food.
